A grade label is only a starting point. Professional buyers need to know which visible and measurable characteristics the supplier uses to separate one grade from another.
A written specification protects repeatability and makes receiving decisions more objective.
Describe visual characteristics
Specify the characteristics that matter commercially, such as cap presentation, size range, colour, fragment level and natural surface variation.
Avoid subjective phrases when a photograph, range or acceptance rule can communicate the requirement more clearly.
Clarify sorting and fragments
Ask how material is sorted and whether the quoted grade permits partial caps or smaller pieces. This can influence both presentation and packing efficiency.
The acceptable fragment level should reflect the intended channel rather than an assumption that less is always commercially necessary.
Use representative approval material
A few selected pieces are not a reliable picture of a bulk batch. Request representative photographs and, for important orders, a sample that reflects the proposed grade.
Keep the approved sample record with the purchase order so the receiving team knows which standard was accepted.
Specify packaging protection
Grade can be lost during transport if whole caps are not protected from crushing. Packing method, inner liner, carton strength and pallet arrangement should be part of the purchase discussion.
If presentation is important, define how damage will be assessed at receiving and photograph cartons before unpacking.
Review the standard after each order
Receiving feedback should be factual: note pack numbers, batch references and observed deviations. Share useful evidence with the supplier.
A controlled review process strengthens repeat orders and helps both parties keep the grade definition commercially relevant.
